Q. What happens when I "write off" unbilled costs in the job Work in Progress window?

A. When you write-off costs the status for the job's unbilled costs changes from "unbilled" to "write-off." The costs' gross amounts are erased from the job ticket, keeping it off billing worksheets and other pre-billing reports. Writing off unbilled costs doesn't affect the General Ledger, since it was already updated when the costs were posted.

Q. We send out Proposals not Estimates. Is there a way to change the heading in Clients & Profits?

A. Yes. On the job ticket, choose Edit > Edit Job > Estimate Options and change the heading to Proposal. To change the heading for every job choose Setup > Preferences > Estimate Options. If you use Job Type Spec Sheets to open new jobs, select the estimate options button and modify the heading for that selected job type. The Job Type Spec Sheet overrides the global setting in Preferences.

Q. We just closed our year and when I go to do our Bank Reconciliation, outstanding checks from last year are not there. How do I reconcile my checking account accordingly?

A. When the fiscal year is closed, outstanding items in the bank reconciliation are not carried forward to the new year's database.

Check outstanding items on your last reconciliation against the bank statement. If any prior year outstanding items remain, adjust the statement ending balance according. Check items would be subtracted, deposits added. The modified statement ending balance is the bank balance entered on the first screen of the bank reconciliation.

Think of it this way - since you can't tell the computer that these items are outstanding, you adjust the statement ending balance as if the items had cleared the bank. This adjustment will no longer be necessary once the items clear the bank.

Remember, you must leave the bank reconciliation window in order to adjust the statement balance in the first window, so save your work. Also, print a report showing the difference and the outstanding items, cleared items, or both. Use these reports to work from when you return to the bank reconciliation window.  

Q. How do I schedule a job's tasks?

A. From the Job Ticket window, click the Schedule button. The Job Schedule window opens, listing the job's production tasks. The job is scheduled by entering start and due dates for its tasks. A "how to" job scheduling tutorial is available here.  

Q. In the Add New Job window there is an area that says "Assigned to" which is all blank. What is this for?

A. In Setup > Preferences > Jobs... you can enter the the "Traffic names" for the production and creative titles who will be working on your jobs. Use a two letter code for those titles (examples: AE for Account Executive, PM for Production Manager, CW for Copy Writer.) When opening a new job you can assign specific staff who will be responsible for this job. Job can be tracked by these traffic assignments.  

Q. What are Traffic Milestones and how do I use them?

A. They are key events in a job's progress that a traffic manager (or other responsible person) needs to keep track of so that work on a job continues to progress in a timely fashion. There are twelve milestone headings available for each job type, so they could be a combination of task-related activities that are critical to a job's development (like the date when the copy is due) and non-task related activities (like whether or not the client has approved the estimate or the date of a client meeting.) All milestone reports are like big checklists. Used in conjunction with status codes and traffic assignments, they provide a comprehensive overview of many jobs.
