Q. Are the amounts on the 1099 reports coming from A/P, the checkbook, or the General Ledger?
A. 1099s are based exclusively on posted checks. Purchases paid for by check are totaled by payee on 1099 reports and forms. 1099 reports can be found at Accounting > Checkbook > Edit > Check Tools > Print 1099 Reports/Forms.
Q. I'm not ready to close the year. How will I enter work for January into the system?
A. Before you enter new work, be sure to change the current period in Preferences to 13.
You'll enter new A/P invoices, A/R invoices, checks, and client payments as you normally do. The only difference is that they'll affect period 13 (i.e., the first period of the new fiscal year).
Q. I'm already in period 13. What should I do when I receive the following message in Clients & Profits: "This entry is dated in the new accounting year. It shouldn't be added until the year is closed. See your system manager."
A. Click OK and you can still add the entry. This message is to remind you that Clients & Profits is not set to the current accounting year. In order to get rid of the message, do the following: choose Setup > Preferences. Select Accounting Periods from the pull-down menu. At the top of the window, change the "First day of your fiscal year" to the first day of your fiscal year, and click Save. Then the message will not appear when adding additional entries.
Q. If we number our jobs by client, and we want to begin with 01 for the new year, how do we do this?
A. For each client (My > My Clients), in their Clients window, choose Edit > Edit > Client, and tabbing through to the Last Job line, delete the number that is there, and leave the line blank. Click Save. This will ensure that the next job number you add for that client will be 1. You will need to do this for each client.
Q. If we number our jobs using the year, how do we get "04" in our job number?
A. Choose Setup > Preferences, and select Job Numbering from the pull-down menu. The line that reads "Current Year", change the year to 04 and click Save.
Q. Where can I find a list of payments we've made to a particular vendor?
A. The Check List by Payee report will give you this information. Choose Accounting > Checkbook. Choose File > Print Cash Reports. Make sure the Lists under Print Report in the left side of the window is underlined. Enter the Date Posted or Date Added range, then select from the pull down menu a specific period or All Periods. Enter the payee name (as it appear on the checks) for the payee, and mark the report "Check List (Checks by Payee)" and click Print. Q. In the Add New Job window there is an area that says "Assigned to" which is blank. What is this for?
A. In Setup > Preferences > Jobs... you can enter the the "Traffic names" for the production and creative titles who will be working on your jobs. Use a two letter code for those titles (examples: AE for Account Executive, PM for Production Manager, CW for Copy Writer.) When opening a new job you can assign specific staff who will be responsible for this job. Job can be tracked by these traffic assignments.![]()
