Q. We received a retainer payment from a client. We have not billed the Client for this retainer. How do we record this payment?
A. Choose Accounting > Client Payments. Mark the payment type as Retainer/Deposit/Advance. The G/L account number for your client retainers and deposits should appear as the cGL. Once this payment is saved, the client's retainer balance will be increased by the payment amount.
Q. We've edited the address for a client who moved, but the old address still shows on current job invoices. How do we update the address on current jobs to show correctly?
A. You will need to update the Billing Address in My > My Client to the clients new address. Choose My > My Client and find the client. Select Billing Information and in lower right select "Copy" to copy your clients new address in to the Billing address box, then click Save. This address will now appear on all new invoices for this client.
Q. Is there a report which will show what our "Task Mark Ups" are?
A. Printing the task table from the Lookup List will show the markups. Choose Lookup > Task Table then click to print this report. The markup percentage along with the billing rate will show for each task.
Q. I need a list of jobs and billings for all clients from last year. Is there report in C&P which will show me this information?
A. The Client Job Summary report will list all the jobs for your clients for the date range you enter and show how much was billed on each job. From the job ticket window, choose File > Print > Print Reports and select Summaries. Mark the box to print the Client Job Summary report and enter the production range of the jobs you wish to show on the list. Enter a job started date range so that the list will pull in all jobs that were billed last year.
Q. We have a client who wants the job specifications printed on their invoices. Can C&P do this?
A. Yes! In Accounting > Billing/Accounts Receivable, find the clients invoice. Choose Edit > Edit > Options. Select the checkbox "show job description." The job specs will now print at the bottom of the invoice.
Q. Where can I change the client on a job that has already been scheduled?
A. You can renumber one job's client by using the Renumber utility. Choose Setup > Utilities > Renumber. Click on the pop-up menu and select to renumber one job's client. Changing the client on this job has no effect on the job schedule. Remember, if you use the client code as part of your job numbers, you may want to renumber the job number as well.![]()
