Q. Can I block a staff member from seeing a client's job tickets?
A. Yes, anyone with access to the Client file can set access to a client's job tickets. (Choose My > My Clients and find the client you wish to limit access to. Click the access button.) You can now select which staff members should not have access to this client's jobs. Staff access privileges for clients only affect a user's access to a job's tasks. Access to other client-related areas in C&P are not affected by this setting. The access privileges in Setup > Users, Access and Passwords is the real basis for security in Clients & Profits.
Q. There are so many reports in Clients & Profits. How can I find the best ones for my needs?
A. Try the Clients & Profits Report-o-matic. It's an interactive, searchable database containing samples of over 300 reports covering production, traffic, media, billing, accounting, and financial reports. There's also a Reports Workbook which can be downloaded and printed using Adobe Acrobat.
Q. I work in Accounting and don't need the Production links that show in My Information Center. Can I customize this screen to suit my needs?
A. Anyone with manager level access privileges can customize your Information Center. (Choose Setup > Users, Access and Passwords. Highlight your name. Click the Customize info center button.) While in the customize window, use the pop-up menus to select areas you wish to have a quick link to. Those links are restricted based on what areas you have permission to view/use.
Q. When I add a job cost transfer, why doesn't it automatically transfer the net as well as the gross amount?
A. Only when a job cost is entered to the wrong job should both the net and gross amounts be transferred to the correct job. (This method of moving costs added to the wrong job should not be used for time costs. Time costs added to the wrong job should be corrected in the actual time entry.) When transferring costs rightly added to a job due to an inability to bill the costs from the original job, the net amount (i.e., the agency's actual cost) stays on the original job for more accurate job costing. (In the case of time entries, the net amount and the actual hours stay on the original job.) Only a cost's gross (i.e., billable) amount appears on the job that the costs were transferred to.
Q. My current accounting period is 3, but I have some entries that I need to add and post to period 2. How do I do this?
A. You can post information into any accounting period as long as the accounting period is unlocked. In most windows where you add transactions, there is a pop-up menu next to the "Period:". Click on it and select the period you wish to post to. Make sure to save, proof, and post your entry.
Q. What information prints on a proof list in Clients & Profits?
A. A proof list prints information from only unposted entries. Unposted entries do not affect actual reports, such as job tickets or financial statements. Once an entry is posted, then it affects actual reports. For example, an Accounts Receivable Aging prints all posted A/R invoices with an open balance.
