Q. How does Clients & Profits let us bill by client--is it one flat rate or can we have special rates for more time-intensive tasks?

A. Every client can have a standard billing rate, as well as dozens of special billing rates. In time cards and time sheets, the client's standard rate is used first. When a user enters the job task, Clients & Profits checks the client's billing rate table for the task's special rate. If not found, the standard rate is used, otherwise the special billing rate is used instead. To set up a client's standard billing rate, choose View > Clients. Click the top left icon on the left side of the window, "Billing Info." Enter standard billing rate, and click Save. To set up the special rates, choose Edit > Edit > Client Billing Rates. Click the Add button, then enter the task, a note, and the special billing rate. Click Save.

Q. When does Clients & Profits post recurring journal entries?

A. Recurring journal entries aren't posted until the month for which they are scheduled is the current period. They can be seen on the proof list by checking the "include recurring entries" option.

Q. Are Printing Specifications part of the estimate?

A. No. Printing Specifications are a separate document that you create for each job ticket (assuming it's relevant to the job). When a job involves large amounts of printing, its printing specifications can be described in a detailed, on-line form. The Printing Specifications explains to the vendor the specific printing requirements for a particular job. It is a worksheet that production people can use to define a print job's physical characteristics, such as flat size, binding and cover stock. To edit the job's printing specifications, from the job ticket's window (View > Job Tickets), find the job you wish to edit. Choose Edit > Edit Job > Printing Specifications. Make your changes and click Save.

Q. How do we get our task descriptions to appear on our estimates?

A. Find the job ticket in the job ticket's window (View > Job Tickets). Double click on each task that you want the description to show on the estimate. This will open the Edit Job Task window. Check the "Show description on estimates, invoices" checkbox, and click Save. When you print your estimate and invoices, the task description will now appear.  

Q. Where can I find a report in Clients & Profits that shows costs for one specific task on one particular job ticket?

A. The Job Cost by Task Report will give you this information. Find the job ticket in the job ticket's window (View > Job Tickets), then click on the desired task. Then click the far right icon on the top of the window. This report will tell you each line item that contributes to the costs of this task on this job.
