Q. I'm trying to close a job, but it won't close. Why?

A. Either the "Can't close jobs with unbilled costs" or "Can't close jobs with unfinished tasks" is probably enabled. These options prevents jobs from being closed if they have unbilled costs, or unfinished task which is a good security feature. It forces people to double-check their job totals before closing a job. You can change the setting by choosing Setup > Preferences > Jobs then deselect the appropriate option.

Q. Why can't time sheets be used for payroll?

A. In Clients & Profits, time cards and time sheets are designed for job costing and billing. The way that time is tracked is more for the client's benefit on invoice detail reports and job cost reports. Time keeping for payroll would be a lot more strict because it's affecting the General Ledger; you'd lose a lot of the flexibility for showing (or not showing) time on invoices. By not being part of the G/L, you can decide -- not your payroll system -- how time is tracked in your shop.

Q. When cloning a job ticket, can the job's estimates, worksheets and budget be copied to the new job?

A. Yes. When you clone a job, you should see several options at the bottom of the window--including one to clone the estimates, worksheets and budget. Once the new job is saved, you can freely change any of these entries.

Q. Can I schedule two of my staffers for the same task?

A. Yes, you can. First you will need to create a sub-task. In the Job Schedule window (Production > Job Tickets, then click the Schedule button at bottom of the Job Ticket window), select the task by clicking into any of its fields for which a sub-task will be added. Click the Add Sub-Task button. Enter the information for both the task and the subtask. Click Save.   

Q. I have hundreds of jobs belonging to a specific job type, but only need to change the milestone headings for a handful of these jobs. Is this possible?

A. Yes. First, add a new job type that's just like the original but give it a different name. Edit its milestone headings so that they are appropriate for this set of jobs. Then, change the job type for the handful of jobs that need the new milestone headings. These jobs will now belong to the new job type, and will appear on traffic reports with the new milestone headings.  

Q. We have two bank accounts. Can they both be reconciled through Clients & Profits?

A. Yes. Any bank account can be reconciled with your monthly bank statement. Clients & Profits reconciles bank accounts separately so you'll enter one account's balance at a time. Choose Accounting > Checkbook, then choose Edit > Check Tools > Reconcile. On the Select Outstanding Items window, enter the G/L account number, the statement ending date, and the bank account's statement ending balance. The Bank Reconciliation window lists all activity for the account including checks, deposits, service charges, interest income, and miscellaneous entries. 

Q. Can I reference the insertion order number on the client's media estimate?

A. Yes. Because insertion orders can be created from the media estimate, it can't know what the insertion order is before it is created. You will need to edit one of the media estimate column label names to "order number" or the like, then manually enter the insertion order number into that field for each buy on the estimate.  

Q. Why are my custom font and margin settings lost when I install an update?

A. Unlike other preferences and agency information, font and margin settings are stored in the application itself -- not the database.  When you update, the custom font and margin settings are overwritten during the update.  You will need to reset those items you had previously customized.
