Using the Export/Import Utility
The Export/Import utility creates a new database using client, jobs, costs, and other data from an original database. The utility exports every data file into text files, which are then imported automatically into a newly-created database. When a database is unrepairable, this utility will recover your data.
The Export/Import utility recreates a Clients & Profits Classic, Clients & Profits Pro, or Job Tracker database by exporting the data into standard text files, then importing the text files into a new database. It will also decrease the size of the data file if you have purged information. The Export/Import process is time-consuming, therefore start the process at a time when you can let it run without interruptions. Keep in mind, if the process is interrupted for any reason you must restore a backup copy and begin the process again.The Export/Import utility will combine two database segments into one if enough free space is available in the first segment.

Important notes:
The Export/Import utility can not be used with Clients & Profits SQL.

The process CANNOT be done while users are using Clients & Profits.
The Export/Import 5.x utility is RAM-based, so does not require the extra disk space as older versions of the utility. However, Mac users may run out of RAM on multi-segment databases. For best results, use a Windows-based PC to run the export/import.
The Export/Import 4.x or earlier versions need a large amount of free space on your hard drive. Don't start the utility unless you have 3x the size of your database as free space. Example: for a 30 megabyte database, your hard disk needs at least 90 megabytes of available hard disk space.
Don't run the Export/Import utility across the network. Use a local hard disk (that is, one that is inside the computer running the utility).
Make a backup copy of the database first.
Let the Export/Import utility run overnight--but make sure nothing will interfere with the procedure (such as automated backups, screen savers, Applescripts, etc.)
If your database was damaged by a hard disk crash or other technical problems, be sure to find and solve the problems before recreating the database. If the problems that caused the corruption isn't fixed, your database is likely to crash in the future.
If the Quick Check says the "data structure" of the database needs repair, the Export/Import won't work until the data file structure is repaired with Data Utilities (see below).
To recreate a database using the Export/Import utility:
1 Start the Clients & Profits Player.
2 Choose File > Open Application.
3 Double-click on the Export/Import utility.
DO NOT OPEN THE CLIENTS & PROFITS APPLICATION AT THIS POINT. The Export/Import program is not a plug-in; it is a stand-alone utility that can't be used together with the Clients & Profits Pro or Clients & Profits Classic library file.
The Database menu appears at the top of the screen.
4 If prompted, select your Clients & Profits Classic, Clients & Profits Pro, or Job Tracker application.
The Export/Import window opens.5 Choose whether to "recreate" a database or "start" a new database.
Choose Database > Recreate Databases from the Database menu, or click the Recreate Database button from the window, to make a complete duplicate of your existing database. Choose Database > Start Database or click the Start Database button to make a new database using just your existing clients, tasks, G/L accounts, and other basic data.6 Click the Copy Data From button and select your existing database.
7 Click the To New Database button to name and save your new Clients & Profits database.
8 Click Start.The utility first counts the number of records in your database. Before the data is exported, a preview report is compiled showing the contents of your database. Print this report out, you'll need this report later to compare the results before-and-after the export/import process is finished. Your clients, jobs, costs, and accounting data is now imported into a new database.
If your database is very large and consists of two or more "segments", the Export/Import utility will make create as many segments as needed. The new database will be nearly the same size as the original database, unless you have purged records. In that case the database will be sized according to the record size, + 10%.
When the data is completely imported, the Export/Import utility print a summary report comparing the before-and-after results of the import then will automatically quit.
9 The database now needs to be renamed and then copied back to the server.
Be sure to delete the old database from the server before copying the newly created database to the server and use a different name than the original database to keep users from opening the wrong database. The export/import process is now complete. Your new database is ready for work.
