THE
MYSTERIOUS COST AND BILLING RATES
EXPLAINED
Clients
& Profits supports a variety of billing rates
based on either staff member, client, task, or job.
This gives you the flexibility to handle different
kinds of client preferences automatically. Here's
how it works:
There's only one cost rate for each staff
member, and is entered in the Staff window.
A special overtime rate can be set up for
each staff member.
The staff member's cost rate is copied
automatically to every time sheet and time card
entry.
The job task determines which billing
rate-either staff, client, or task-is used on time
sheets and time cards. Each job task has a "billing
rate method" option that lets you choose which rate
to use.
The billing rate method can be changed for
the entire job by editing the option in the Job
Specs window. Changing this option affects the
job's existing tasks. However, old time entries
aren't changed (so show the old rates, whatever
they were).
If a user has the right access privileges,
they can edit cost and billing rates on time
sheets, overriding the standard rates.
If a user can't see rates on time sheets,
their rates can't be edited by them. Their regular
billing rates will be applied automatically, every
time.
Time entries always remember the rates that
were entered. Even if you change the standard rates
later, the time and productivity reports for old
time will be accurate.

Most Clients & Profits users
don't enter their own time into the database. Instead, some
poor person has the thankless, boring task of inputting time
sheets for the entire office. This is a professional and
personal tragedy. Here's why:
Reason #1: Time is always proofed anyway. All time
entries are proofed daily or weekly by management anyway, so
why not let everyone enter their own? Most time entries will
be correct; those that aren't are easily edited if not yet
billed.
Reason #2: Lots of help for staffers. Job and task
lookup lists are interactive with time cards and time
sheets, so entering time is fast and easy. Lookup lists
automatically appear if you try to skip essential fields.
The job lookup list can be limited to include only active
jobs. For staffers who can't remember what job number
represents which job, job names and client names appear on
lookup lists. Double-click on your selection; you don't even
have to type it in, cutting down on user error.

Reason
#3: Limit their "creativity." By limiting user access,
stop a staffer from entering a new job task; they can only
use tasks that are already on a job. This prevents unwanted
tasks from being added to job tickets and forces time entry
onto only estimated tasks.
Reason #4: It tells them where (and when) they're
working too much. User budget alerts monitor the number of
hours entered for an estimated task. Status code alerts
prohibit time entry on jobs that aren't yet approved.
Establish planned hours for staffers so they must account
for all time each day.
Reason #5: Return to your own work. No more
threatening, whining, and bribing staffers who haven't given
you their time. Clients & Profits software provides the
tools making it easy, efficient, and safe for staffers to
enter their own time.
