Traffic Manager's
Best Friend: Traffic Milestones
Everyone in
the shop counts on Traffic to keep them up on
what's going on. Whether it's one person or many,
the Traffic Department is the brain of the agency.
It coordinates so much activity and keeps
everything flowing smoothly. So who helps
Traffic?
Traffic milestones do! Milestones remind traffic
managers of what must happen, and in what order, so
jobs proceed. Milestones are based on Job Type
because the events that they represent are the same
or similar based upon the type of work being done.
The things that change are the different dates
entered for each job on each milestone.
You select jobs listed on milestone reports by
entering a status code range. You sort jobs based
upon client, account executive, or any one of the
traffic assignments--the creative/production people
most responsible for getting work done.
Milestones provide an overview of job development
but also delineate important individual events.
It's a traffic manager's "tickler" list--deadlines
that they must meet personally or events that need
to happen to keep work moving.
Here are some example milestones and their
abbreviations:
Client Presentation ("CL PRES")
Internal Creative Meeting (" INT MTG")
Estimate Approval Due ("EST OK")
Copy Approval Due ("COPY OK")
Photoshoot ("SHOOT")
Press Check ("PRESS C")
Tearsheet ("TEAR")
Follow Up Calls ("F CALL")
File Art ("FILE ART")

Jobs blaze through the shop. To track
them--you've got to be quick. Traffic managers be
alerted--the Daily Job Status Report is your tool for
tracking many jobs at one time.
The Daily Job Status Report
lists information such as job number, job name, account
executive responsible, due date, current status, and two
sets of detailed notes: the status note and the client
notes/comments/next steps. You are able to limit jobs listed
on the report by entering a status code range for only jobs
you wish to review. Status codes "herd" jobs together based
upon what stage in their development they are at presently.
Track the big picture with status codes.
You also limit jobs listed
based upon client, account executive, or any one of the
traffic assignments. Traffic assignments are the initials of
the creative/production people most
responsible for getting the work done. So, the Daily Status
Report can be personalized to a great degree.

Regardless
of who you are in the agency, you can quickly review many
jobs with which, in some capacity, you are involved.
The report can be printed from
a billing status code perspective, too. (Don't want the
accounting department to feel left out!)
Besides printing the Daily
Status Report, you can quickly and easily update many jobs'
status codes and other traffic information at the same time.
No need to find each job individually--who has time to do
that?
